Eldora Public Library Board of Trustees

January 31, 2017

 

 

PRESENT: Rex Lawler, Jill Stanish, Mary Swartz, Jerry Trittien, Dan Gehring

 

MINUTES were approved. BILLS were approved.

 

Director’s Report

  • Winter book sale profits are about $400 so far. Books will remain in the meeting room for a couple weeks; patrons can make monetary donations for books at the front desk.

  • Grant proposal for Hardin County Community Endowment Foundation is ready. Funds requested are $750 to be matched by library to start the 1,000 Books Before Kindergarten program.

  • Dan continues to research an affordable printer for use with mobile devises. Decision on purchasing printer was tabled.

 

Old Business

  • Ben Speck shared an estimate for converting lights in library to LED. Engergy savings would be substantial; life of the bulbs is approximately 20 years. Board approved using funds from the Special Library Trust to complete the work. It was suggested that work in high traffic areas be done before library business hours.

  • Discussed using digital archive service through the newspaper for newspapers. Board approved doing papers from 2015. Additional years may be considered if justified by patron interest.

 

New Business

  • Discussed the reinstatement of partial library privileges to a young patron after several months of remaining with a parent in the library. Dan proposed that the child must still be in the library with a parent but will no longer have to be right next to the parent. Board approved the action.

  • Discussed copy machine fees. Board kept copy fees the same: 25 cents for black and white and 50 cents for color copies. Board approved a straight fee of $1 per faxed page.

  • Board members were encouraged to check out the State of Iowa library website.

February 28, 2017

 

 

PRESENT: Kristin Gehrke, Jill Stanish, Mary Swartz, Jerry Trittien, Dan Gehring

 

MINUTES were approved. BILLS were approved.

 

Director’s Report

  • Final book sale profit was $536.08 which will be used for future book purchases.

  • Library did not receive a grant from HCCEF but did receive a $250 grant from Shopko that will be used to purchase books.

  • The search for an affordable printer continues.

  • Waiting on publisher approval for 2015 newspaper content to be added to the county library’s digital archive.

  • Dan reported that the library received a $2500 donation in February.

 

Old Business

  • LED installation was completed. In the process, 14 additional can lights and 6- 3ft. lights were discovered. Board approved the replacement of those remaining bulbs. Once Speck Electric has been paid, Dan will apply for the $1698 rebate.

 

New Business

  • Dan reported that some young patrons have had to be asked to leave the library for misconduct. Two letters were sent to a parent with a request to contact the library. Parent has not responded but child’s behavior has improved.

MINUTES were approved. BILLS were approved.

 

Director’s Report

  • Friends donated a series of biographies for kids. They are currently on display and ready for checking out.

  • Library received a grant from HCCEF for the 1000 Books Before Kindergarten Project.

  • Good Shepherd will host a kick off program for the 1000 Books Before Kindergarten Project on Tuesday, May 2 at 5:30. Dinner will be followed by program. It was suggested that Dan inform the ENP Preschool about the program. Public is welcome to attend.

  • The library will receive $2000 from the Barlow Family Foundation for the Google Expedition kit.

  • Dan is still waiting to hear from Cargill regarding a donation.

  • Still waiting for posting of 2015 newspaper content.

  • Balance of the Special Frey Library Trust is $54, 449.81.

 

 

Old Business

  • LED lighting installation has been completed. Ben Speck will prepare the rebate application.

 

 

New Business

  • Current control panel from Siemens will not be supported after October 1, 2017. Whink is looking into ways to update the control panels.

  • Library received District State Aid in the amount of $1,490.51. Board approved using funds to purchase books.

  • Discussed offering a welcome night at the library for new Eldora residents in conjunction with the Welcome Center. Dan will investigate this further and report at the next meeting.

  • The cleaner suggested the library consider installing a chair rail in the meeting room where the tables hit the wall. Board opted to table a decision on this until a future meeting.

PRESENT: Dean Stickrod, Jill Stanish, Mary Swartz, Jerry Trittien, Jackie Winters, Dan Gehring

 

MINUTES were approved. BILLS were approved.

 

Director’s Report

  • City Hall will contact Dan when new residents get signed up for water service. Dan will send a welcome letter on behalf of the library encouraging newcomers to visit the library and get a library card.

  • Kickoff for the 1000 Books Before Kindergarten Project will be Tuesday, May 2 at 5:30 at Good Shepherd Preschool. Daycares and preschoolers received information about the free dinner and program. Friends donated the $750 matching funds for the HCCEF grant.

  • Dan applied for a lighting rebate in the amount of $2,380.95.

  • Reminder was given to Personnel Committee to complete Dan’s annual evaluation.

Old Business

  • Service contract with Siemens has expired. Dan is waiting for more information from Whink regarding a new wireless control panel.

  • Due to high cost of cloud printers, it was suggested that when the current copier needs to be replaced, the library find something with cloud capability.

  • Discussed painting the meeting room. Dan will contact Judy Staples for an estimate. Jackie Winters will pick up swatches of gray paints.

New Business

  • May 3 is the South Hardin High School Community Service Day. Dan requested volunteers to help spread mulch and plant flowers. Board approved spending up to $200 for mulch and flowers.

  • Discussed placement of progress board for the 1000 Books Before Kindergarten. Board approved moving the cowboy painting to make room for the new board behind the front desk.

  • Discussed funds remaining in the amount budgeted for Furniture & Equipment. Dan reported that the board may want to consider replacing older computers. It was also suggested that we use some of the money to purchase seating for teens. Jill will check IKEA for options.

May 30, 2017

 

 

PRESENT: Dean Stickrod, Kristin Gehrke, Rex Lawler, Jill Stanish, Mary Swartz, Jerry Trittien, Jackie Winters, Dan Gehring

 

MINUTES were approved. BILLS were approved.

 

Director’s Report

  • Summer Reading Program information is posted on the library website. Open to all ages.

  • High school students washed windows for Community Service Day. Rosy planted roses. New mulch was spread.

  • Three families have already completed their first 100 books for the 1000 Books Before Kindergarten Project.

  • At least one new resident signed up for a library card.

  • Reminder was given to Personnel Committee to complete Dan’s annual evaluation.

 

Old Business

  • Dan is still waiting for more information from Whink regarding a new wireless control panel.

  • Lighting rebate for $2,380.95 was received.

  • Dan got an estimate from Judy Staples for painting the meeting room. Board approved hiring Judy to apply two coats of gray paint.

 

New Business

  • Dean was given a Little Free Library container. Board discussed location to install and agreed on Rotary park downtown. Dean will check on getting approval from city to have it put in. Dan printed off a suggested label that could be placed on books placed in the Little Free Library.

  • Dan requested funds from Furniture & Equipment to purchase two new computers. Board approved purchase.

  • Purchase of furniture for a teen area was tabled until the next fiscal year.

June 27, 2017

MINUTES were approved. BILLS were approved.

 

Director’s Report

  • The Friends of the Eldora Library will be replacing one of the computer monitors that stopped working.

  • Summer Reading Program for all ages is in progress. Susan has been posting photos of various library events on the Eldora Public Library Facebook page.

  • Bob Jones looked at the automatic door opener and suggested calling Iowa Falls Glass to get it fixed.

  • The library website now has a link to Chilton’s vehicle information as well as other online resources. These resources were provided by the state.

  • Dan reported that a total of three new library cards have resulted from the welcome letters mailed out.

  • Dan reported that an incident of vandalism had been mostly repaired.

  • Reminder was given to Personnel Committee to complete Dan’s annual evaluation.

 

Old Business

  • Dan is still waiting for more information from Whink regarding a new control panel.

  • Painting in conference room was completed.

  • Jill has not yet researched furniture for a youth-friendly area in library.

  • Discussed progress on Little Free Library. Dean reported that the structure has been painted and is ready for installation as soon as authorization is received for placement in Rotary Park. He reported that a post will need to be set in cement and the structure attached to post.

 

New Business

  • Library employees were given a 2.5% raise, the same increase as other city employees.

  • Dan reported that six people had applied for the library cleaning position. Board agreed to a starting wage of $10 with the possible increase up to $10.50 after a 90 day performance review. Dan will contact the top two applicants.

MINUTES were approved. BILLS were approved.

 

Director’s Report

  • Elementary Summer Reading Program was completed by 37 youngsters. Pool party was Saturday, July 22. Middle schoolers are finishing up their program and will have a pizza party on August 1. Special programs were well attended. Thanks to Susan’s work on the Summer Reading Program and to the Friends of the Library for paying for special programs.

  • Discussed surveying Summer Reading program participants about suggestions for next year. It was suggested that the Fall survey could be a way to get input.

  • When automatic door stops working, Dan will contact Iowa Falls Glass for repairs.

  • Rob from Whink stopped by the library and is working on an estimate for the control system.

  • Library Book Sale will take place during the Pine Lake Festival. Sale hours will be Friday 2pm-6pm and Saturday 9am-3pm.

  • Dan reported year end totals for fiscal year.

  • Dan’s report to Friends of the Library was distributed to board.

 

 

Old Business

  • Jill contacted Industrial Arts and Art instructors at the high school about having students propose redesign options for a teen area of the library. Jill will follow up with the instructors closer to the start of school.

  • Dean reported that the mayor had given his permission to put up the Little Library structure in Rotary Park. It will be installed near existing plantings for ease of mowing. Once installed, Dean will contact the national foundation to publicize the location.

 

New Business

  • Following the vandalism at the pool, the board discussed whether those vandals should also be banned from library. Board decided not to take that action at this time.

August 29, 2017

 

 

PRESENT: Dean Stickrod, Kristin Gehrke, Rex Lawler, Jill Stanish, Mary Swartz, Jerry Trittien, Jackie Winters, Dan Gehring

 

MINUTES were approved. BILLS were approved.

 

Director’s Report

  • In honor of the 75th Anniversary of Little Golden Books, the library will have an Open House on Saturday, September 16 from 9:00am-3:00pm. The training school is making a cake for the event and cookies will also be served. Various activities are planned and families will be able to register their children for the Imagination Library program as well as the 1000 Books Before Kindergarten program. Friends of the Library will be assisting with the event. The Little Free Library will also be displayed.

  • Dan called Iowa Falls Glass to have them look at the automatic door that needs repairing.

  • Whink reported that they will be unable to replace the control system for the library boiler. Dan will check with Young Plumbing and Heating from Waterloo.

  • Meeting room carpet has been cleaned.

  • Board approved payment for digitizing Eldora Ledger newspapers from January 1866 – March 1872.

 

Old Business

  • Mr. Scott brought two shop classes to the library to measure dimensions. Students will work on proposals for creating a teen space and possibly a study room. Jill talked with the South Hardin Art Instructor, Ms. Broer about having second semester art students make design suggestions for furniture and paint.

  • Date for installation of the Little Free Library has yet to be determined.

 

New Business

  • Because the last Tuesday of the month falls on Halloween, the Board agreed to meet on Monday, October 30 to enable the meeting room to be used for a Library Halloween party.

  • Pam Elerding will attend a future Library Board meeting to discuss ways the library can promote giving to the Endowment Fund.
