Eldora Public Library Board of Trustees

February 24, 2009

PRESENT: Don Wilson, Jan Dunn, Jill Stanish, Mary Swartz, Dan Gehring

MINUTES were approved. BILLS were approved.

Ian Rigg checked on the insurance for library. Insurance policy allows $800,000 to cover the contents of library including books and shelving. IT coverage was increased from $4,000 to $25,000.

Ian distributed a chart showing a comparison of various cities and what percentage of their Municipal General Budget is used for Library Operations. Eldora’s Library operations represent 16.4% of the city's general fund budget.

Board asked Ian about the approximately $15,000 of library funds that had not been spent from previous years. Ian will check on the status of that money. It was requested that the city develop a policy detailing what would happen in the future with leftover funds.

Discussed the definition of "rural" as it pertains to seeking a new member for the Board of Directors. Ian will check whether city code provides a definition. If not, the definition of the U.S. Census Bureau will be used.

Dan gave Director’s Report. Library is over budget for heating costs. Jennie Fern Hinshaw bequeathed the library $500. The will is in probate.

Discussed grounds work for the spring. Dan will contact South Hardin High School Service Day coordinator regarding having students come assist with clearing and preparing beds for new plantings.

Discussed nominations for the Board of Trustee’s vacancy. Lou Schaeffer and Arlen Daleske were recommended by board. Don will first contact Lou; if he is not interested, then Arlen will be asked. If Arlen is not interested Dan Nelson will be considered.

Discussed disposal of some unused office equipment (filing cabinet; older Mac). Dan mentioned offering items to other libraries. Board authorized Dan to use his discretion regarding the disposal of equipment.
